Vanderbilt University is Hiring a Grants Specialist Near TN, TN

The Grants Specialist is part of the Physics & Astronomy Department in the College of Arts & Sciences at Vanderbilt University and is a key individual contributor responsible for internal post- award activities for an extensive portfolio of grants for departmental faculty. This position will include completion of monthly projections, serving as the financial and administrative contacts for their assigned faculty and completion of other tasks to maintain the awards within their portfolio. This position will also be responsible for pre-award activities including entering budgets into internal and federal proposal submission systems, monitoring active subcontracts and other pre-award items as needed. Reporting directly to the Grants Manager, the Grants Specialist will engage with a wide range of colleagues/coworkers, e.g. faculty, postdocs, students, and administrative staff in various departments/central offices.

The Grants Specialist will engage in pre and post award activity as it relates to the faculty assigned to the position under the direction of the Grants Manager.

Duties and Responsibilities
  • Manage budget and administrative post-award responsibilities for grant portfolio -
  • Works in conjunction with the Grants Manager on new, competing or revised grant applications in preparing initial and extended budgets, including indirect cost calculation.
  • Reviews budget details with the lead faculty member related to the grant, also known as the Principle Investigator or PI, including: personnel, effort allocated and overall expenses.
  • Provides assigned faculty members monthly budget projections for their grant portfolio.
  • Prepares and submit project requests, budget revisions and cost transfers as required.
  • Prepares regular and ad hoc reports to the PI detailing personnel, effort allocation, overall expenses and projections.
  • Review transactions and revisions regularly to ensure federal and University compliance standards are maintained.
  • Under the direction of the Grants Manager, assist with routine pre-award tasks as needed -
  • Manage department incoming and outgoing subcontracts
  • Complete regular and ad-hoc reporting for the department as required.
  • Attend trainings offered by the University, College and department regarding sponsored projects.
  • Other duties as assigned
  • Assist faculty and grants manager in preparing and assembling grants proposals/contracts in compliance with sponsor, University, and federal guidelines and deadlines.
  • Prepare budgets within internal and external (foundation, federal, etc.) grant submission systems.
  • Work with the PI to submit grant proposals in internal and external systems following sponsor and University guideline.
  • Provide outside departments with biosketches, other support and ancillary data as requested.
  • Enter subcontract information into internal system and alert appropriate PI portfolio manager when the subcontract is approved.
  • Monitor subcontract end dates, working with department staff and faculty along with the subcontractor to complete amendments and final invoicing timely.
  • Work on Sponsored Billing Agreements, Non-Sponsored Billing Agreements, and other various contracts as related to grant items as directed by the Grants Manager.

Supervisory Relationships:

This position does not have supervisory responsibility; this position reports administratively and functionally to the Grants Manager.

Qualifications

  • An Associate's Degree from an accredited institution of higher education is required
  • A Bachelor's Degree is preferred.
  • 2-3 years of experience is strongly preferred

  • Proven resourcefulness with emphasis on detail
  • Evidence of excellent interpersonal written & oral communications skills
  • Ability to plan, develop, and coordinate multiple projects
  • Ability to work both as a member of a team & independently
  • Microsoft Office proficiency (including Word and Excel)
  • Adobe Professional
  • Demonstration of desire & ability to constantly learn
